The Client: Nirali Ceramic

Nirali Ceramic is a leading wholesale trader, distributor, and importer of premium vitrified tiles, large-format porcelain slabs, and luxury ceramic sanitaryware based in Ahmedabad, Gujarat. They act as a critical logistics and trading bridge between major Morbi-based ceramic manufacturing plants and a massive network of retail dealers, building contractors, and sub-vendors across Gujarat.

Serving a growing network of 250+ wholesale dealers and sub-vendors across 33 districts, they manage high-volume dispatches daily, distributing over 1,200 active design collections (SKUs).

To match their operational growth, Exalix Tech was commissioned to digitize their core distribution system (DMS) and build their public-facing web platform. The live catalog website is running seamlessly on top of the Frappe framework at https://niraliceramic.exalixtech.com/.

The Operational Bottlenecks

In wholesale trading, inventory velocity and dealer relations dictate profitability. Nirali Ceramic's reliance on manual coordination created severe bottlenecks:

Wholesale Order Congestion

Bulk orders placed via phone calls and WhatsApp messages led to keying errors in item codes, slower credit checks, and long order validation loops.

Inventory Allocation Conflict

Real-time stock visibility of fast-moving tile variants was low. Sales reps frequently double-booked the same batch of vitrified tiles for different dealers.

Logistics & Route Dispatch Chaos

Consolidating dealer dispatches into region-wise truck shipments (e.g. Saurashtra route vs South Gujarat route) was done manually, leading to delayed departures and space under-utilization.

printed Catalog Latency

Dealers had no way to browse newly arrived tile collections or check stock availability without calling the sales desk.

The Solution Architecture

Phase 1: Custom Website & Catalog on Frappe

We built and launched a highly responsive product catalog website (live at niraliceramic.exalixtech.com) using the Frappe web engine. Newly arrived tiles are uploaded directly from the ERPNext Item master to the site in real time.

Phase 2: Dealer Self-Service & DMS Portal

Configured a secure B2B portal where dealers can log in, view real-time batch stock, place bulk reservation bookings, and track outstanding credit limits and automated invoices.

Phase 3: Warehouse Reservation Locks

Integrated warehouse stock allocation scripts. The system reserves matching batches of vitrified tiles at the time of Sales Order confirmation, preventing double-bookings.

Phase 4: Route Dispatch Automation

Developed custom route-dispatch sheets in ERPNext. The system groups deliveries by district/route (e.g. Surat-Navsari route) and auto-calculates total weight and volume to match truck capacities, saving logistics costs.

"Before ERPNext, coordinating dispatches to over 200 dealers across Gujarat was a daily battle. Exalix Tech not only streamlined our distribution workflows and warehouse allocation but also built a gorgeous, fast website that works as our digital catalog. It has completely changed how our dealers interact with us."

Common Questions

How does the dealer portal handle customized credit limits and terms?
ERPNext’s standard Credit Limit and Payment Terms features were mapped to each dealer group. When a dealer attempts to place an order, the system checks their outstanding balance and blocks automatic allocation if the credit limit is breached, routing it to finance for manual review.
How does the Frappe website sync product stock and designs?
The custom website is built directly on the Frappe framework. Product data and specifications are fetched directly from the ERPNext Item master via custom templates, ensuring real-time product specification updates and high-performance pages without any redundant data replication.
